Operations Manager 


Position Summary:

The Operations Manager is responsible for overseeing the day-to-day operations of the veterinary hospital, ensuring efficient workflows, exceptional client service, and strong financial performance. This role partners closely with the Medical Director and hospital leadership team to support staff, optimize processes, and drive a high standard of patient care.

Key Responsibilities:

Operational Management
• Oversee daily hospital operations to ensure smooth, efficient workflows across all departments
• Monitor appointment flow, staffing levels, and service delivery to maximize productivity and client satisfaction
• Identify and implement process improvements to enhance efficiency and quality of care


Team Leadership & Development
• Hire, train, and develop non-DVM staff, including technicians and client service representatives
• Create and manage staff schedules to align with business needs and budget targets
• Foster a positive, collaborative, and accountable team culture
• Provide ongoing coaching, performance feedback, and conduct performance reviews


Financial Management
• Manage hospital budgets, including labor, expenses, and revenue targets
• Monitor key performance indicators (KPIs) such as client visits, revenue growth, and labor percentages
• Partner with leadership to develop and execute strategies to improve financial performance
• Ensure accurate payroll processing and timekeeping compliance


Client Experience
• Ensure a high level of client service and satisfaction at all touchpoints
• Address and resolve client concerns in a timely and professional manner
• Implement initiatives to improve client retention and engagement


Compliance & Quality Assurance
• Ensure hospital compliance with all regulatory, safety, and company standards
• Maintain inventory controls and oversee ordering of medical and office supplies
• Support proper medical record documentation and operational protocols


Partnership with Medical Leadership
• Collaborate with the Medical Director to align operational and medical priorities
• Support DVM scheduling, productivity, and workflow optimization
• Assist in implementing medical quality initiatives and hospital growth strategies




Qualifications:

• 3–5+ years of management or leadership experience (veterinary or healthcare preferred)
• Strong understanding of business operations, budgeting, and financial reporting
• Proven ability to lead, coach, and develop teams
• Excellent communication, problem-solving, and organizational skills

• Experience with practice management software and scheduling systems preferred

Benefits (optional to include):

• $50,000-55,000 Annual Salary
