We are seeking a dedicated, reliable, and self-motivated Client Services Manager to lead our front desk team in a fast-paced veterinary hospital setting. This position plays a vital role in delivering outstanding client service, maintaining strong client relationships, and driving team performance and development.

The ideal candidate thrives in a dynamic environment, brings supervisory experience, and demonstrates a positive, professional demeanor toward both people and animals. They will possess strong project management and organizational skills, attention to detail, and the ability to multitask effectively. A solid understanding of client service best practices and a genuine commitment to delivering high-quality care are essential.

Skills & Qualifications:

  • Minimum 2 years supervisory experience (veterinary experience preferred)
  • Excellent client service and communication skills, both oral and written
  • Strong soft skills and team-player mindset
  • Flexibility to work varied schedules to ensure proper hospital coverage
  • Compassion for animals and dedication to high quality veterinary care
  • Ability to manage, train, and mentor client service team members

Job Duties:

  • Greet clients warmly and professionally, both in person and over the phone
  • Manage a multi-line phone system: answer inquiries, schedule appointments, and direct/triage calls appropriately
  • Check clients in and out, collect payments, and review invoices
  • Maintain accurate and up-to-date client and patient records
  • Monitor and respond to emails or digital communication platforms
  • Address and resolve client concerns, escalating issues as needed
  • Manage accounts receivable and prepare monthly client statements
  • Oversee food inventory and order accuracy
  • Manage schedules and appointments for front desk staff and doctors
  • Lead daily front office operations, including coaching, mentoring, and disciplinary actions when necessary
  • Assist the Hospital Manager with day-to-day tasks and employee evaluations
  • Enforce hospital policies, procedures, and core values
  • Conduct and participate in monthly staff meetings
  • Maintain a positive attitude while fostering strong relationships with clients and team members
