Job Summary

The Veterinary assistant is a very important member of the hospital team. The primary responsibility of an assistant is to assist the doctor’s and technicians, provide care for pets, and provide exceptional client service while maintaining a smooth and efficient flow of clients and patients through the hospital. More specifically, the Veterinary Assistant is responsible for greeting clients, determining the needs of the clients and patients, educating clients about preventive care, preparing estimates, scheduling appointments, preparing medications, and assisting in treatment, dental, and surgery.

This is a full-time position; scheduled days and hours may vary based on hospital need. Overtime and weekend work is possible. On call rotation may be required.  This position may require standing for long periods of time and some heavy lifting may be involved. Veterinary Assistant reports to the Hospital Manager.

Job Duties and Responsibilities

General Tasks:

  • Follows time clock procedures for clocking in and out at the start and end of the shift

  • Reports to work on time for each shift and remains until the end of shift

  • Ensures the Rooms, Treatment, Dental and Surgery are clean and tidy, always maintaining a professional appearance

  • During down time, an assistant should fill medications, call clients back, and assists the Hospital Manager with special projects.

Client Service:

  • Greets clients professionally, in person and on the telephone

  • Maintains a professional and calm demeanor with all clients

  • Reviews patient’s records and collects information to make necessary recommendations

  • Completes check-in and check-outs, providing all appropriate handouts, rabies tags and certificates, consent and release forms, pre-surgery instruction sheets, etc.

  • Educates clients on products and services and responds to routine medical care questions (for example, vaccination schedules for puppies and kittens, worming, or flea treatment) in person or over the phone

  • Schedules appointments

  • Follows up with clients via phone after a patient visit/surgery or to schedule a doctor recommended treatment

  • Prepares condolences and other correspondence for the doctors and/or Hospital Manager

  • Assists emotional and/or grieving clients

  • Fill prescriptions once approved either in house or by contacting outside pharmacy

  • Assist emotional and grieving clients with care, compassion, and patience

Financial Responsibilities:

  • Provides cost estimates and prepares client invoices while informing clients of credit policies and any outstanding balances

  • Assist Clients in applying for Care Credit and/or Scratch Pay and creates repayment plans for clients, including completion of a Promise to Pay if needed

  • Enters charges accurately into the computer using appropriate codes, and process client credit card payments

Job Duties and Responsibilities

Exam Room/Treatment/Surgery/Dental

  • Assist the technician in obtaining lab tests and minimize separation time for client and pet

  • Assist in ensuring that each room is cleaned and fully stocked

  • Accompanies the doctor in the room to assist with entering charges, notes, and to restrain the pet. Never allow the client to restrain

  • Obtain a temperature for medical cases

  • Always ask, “Do you have any questions for me or Dr. _______”?

  • Clean surgical instruments, sterilize and prepare surgical packs daily

  • Perform Radiographs, Monitor pet’s vitals, administrator treatments, and process in house lab work

  • Prepare discharge instructions

  • Prepare lab work for transport to lab

Qualifications: Knowledge, Skills, and Abilities

Knowledge:

  • Experienced in excellent customer service

  • Basic/Intermediate veterinary medical knowledge, including products and services, is desired

  • English language

  • Proficient with computers and typing

Skills:

  • Excellent telephone skills

  • Excellent oral and written communication skills

  • Interpersonal skills

  • Strong computer skills (Microsoft Office, E-mail, and AVImark experience preferred)

  • Strong organizational skills

  • Typing skills (accuracy)

  • Payment handling skills

Abilities:

  • Professional and courteous

  • Flexibility

  • Willingness to learn

  • Ability to remain calm under pressure

  • Attention to detail

  • Time management

  • Works well in team environment

  • Adherence to procedures and protocols

  • Self-starter and able to work with minimal supervision

Qualifications:

Education/ Experience

  • High school diploma

  • Bachelors' degree a plus

  • Prior veterinary experience preferred but not required

Training

Training will be provided and assigned on an ongoing basis. Some training will be on-the-job application, some will be via the computer/internet, and some will be in person with techs, vet assistants, doctors, and/or the Hospital Manager.
