The Opportunity
As an Assistant Hospital Manager, you will collaborate closely with the Managing Veterinarian and report direction to the Hospital Manager. You will overseeing the implementation of hospital initiatives that you help mold alongside the Hospital Leadership Team.
Your roles and responsibilities are informed by our core values and include but are not limited to:
Service Excellence
·Ensure effective systems are in place to guarantee:
oClient Call backs are performed in a timely manner.
oClient wait times are minimized.
oElective wellness offerings are communicated to clients in a way they understand.
oClient needs are met.
·Support and create internal marketing initiatives (for both staff and clients)
·Support external marketing initiatives and community involvement.
·Commit substantial time to creating and building a culture of customer service.
Communication Excellence
·Advise Department Managers on HR policy and best practice.
·Communicate department-Level development and performance summaries to the Hospital Leadership Team.
·Update Hospital Job Descriptions as the hospital needs evolve.
·Cascade information to Hospital Departments.
·Facilitate effective communication between staff members.
·Champion change management throughout the hospital.
Integrity
·Conduct regular audits of hospital performance in the areas of:
oFinancial transactions and charging.
oCustomer service and performance.
oProtocol compliance.
·Evaluate site-level compliance with safety, quality, and infection control protocol.
·Serve as the Site’s OSHA/Safety Manager
·Monitor and approve expenditures within budget parameters set by the Hospital Manager/Regional Leadership.
·Maintain a regular and flexible schedule that ensures all team members have access to hospital leadership.
·Maintain confidentiality and adhere to legal standards in recordkeeping.
·Ensure bank deposits are made at least twice weekly.
·Oversee DVM scheduling and evaluate hospital needs within the context.
·Monitor labor expenses using the Enhanced Revenue and Labor Tracker to ensure the site operates within budget.
Innovation
·Collaborate with the Hospital Leadership team to develop and implement strategic plans.
·Work with Department Managers to create and implement department-level innovations.
·Develop and implement policies and protocols that enhance operational efficiency while meeting the Hospital Leadership Team’s strategic goals and initiatives.
·Create and Implement new measures to optimize clinic operations.
Teamwork
·Assign Job responsibilities to department managers, shift leads, and hospital champions.
·Update Hospital Champion responsibilities and elevate new hospital champions as needed.
·Attend and participate in weekly Hospital Leadership Team meetings.
·Attend and participate in monthly Leadership Development Meetings.
·Conduct monthly Lead Meetings with all hospital leaders (The Hospital Leadership Team, Department Managers, and Shift Leads).
·Conduct monthly one on ones with department managers focused on team operations.
·Maintain positive working relationships with hospital employees across all department.
·Support Inventory manager(s) efforts to ensure the hospital’s supplies are efficiently stocked.
·Conduct monthly staff meetings.
·Attend monthly department meetings.
Operational Support
·Supervise Hospital Staff, including hiring, training, and performance management.
·Oversee Accounts Receivable and handle collections of past due bills.
·Handle Accounts Payable approvals as assigned.
·Ensure hospital equipment is functional and maintained.
·Ensure building maintenance and repair needs are handled in a timely fashion.
·Organize Hospital Committees and conduct committee meetings as needed.
·Participate in performance management process for all site employees.
·Handle HR concerns escalated from department managers in conjunctions with the Hospital Manager.
·Other duties as assigned.
Qualifications
·An associates degree in business or a related field is preferred
·3-5 years of experience in a supervisory or managerial role
·Experience in a hospital, retail, or service-based industry setting in positions of increased responsibility is a plus.
