Our goal is to foster lifelong relationships through dependability, honesty, empathy, education, and happiness—not only for our clients and patients but also within our team.

Position Overview

The Client Services Representative (CSR) is the first point of contact for clients and plays a vital role in shaping their experience. The CSR provides dependable support to clients, builds meaningful relationships, and ensures smooth operations by working collaboratively with veterinarians, technicians, and the hospital manager.

This role is more than customer service—it’s about being a trusted partner in our clients’ pet care journey, demonstrating our values in every interaction.

  • Guide clients through the check-in/check-out process, ensuring clarity, comfort, and compassion.
  • Communicate treatment plans, follow-up instructions, and preventive care recommendations in an educational and approachable way.

Scheduling & Coordination

  • Manage appointment scheduling to balance patient needs and hospital flow.
  • Proactively support the medical team by anticipating client needs and ensuring timely communication.

Financial & Administrative Duties

  • Process payments accurately, providing transparent explanations of charges.
  • Maintain client records with attention to detail, ensuring honesty and accuracy in documentation.
  • Assist with product knowledge and sales, recommending options that genuinely serve the pet’s best interest.

Hospital Support

  • Maintain a clean, welcoming reception area that reflects the happiness and professionalism of our hospital.
  • Follow emergency protocols calmly and dependably, supporting clients and staff through urgent situations.

Core Values in Action

  • Dependability: Be a reliable point of contact for both clients and teammates. Follow through on commitments and help create stability within the hospital.
  • Relationships: Build trust and long-term connections with clients while fostering teamwork and respect with colleagues.
  • Happiness: Contribute to a positive, uplifting atmosphere that supports client satisfaction and team morale.
  • Honesty: Communicate with transparency and integrity in all interactions—whether financial, medical, or interpersonal.
  • Empathy: Approach each client and situation with compassion, understanding both the emotional and practical aspects of pet care.
  • Education: Provide guidance to clients on their pets’ health and share knowledge with colleagues to promote growth and excellence.

Skills & Qualifications

  • High school diploma or GED required; bachelor’s degree preferred.
  • Prior client service experience (veterinary or medical preferred but not required).
  • Strong communication skills, demonstrating empathy, honesty, and professionalism.
  • Ability to multitask, stay organized, and maintain attention to detail.
  • Comfort with computers; experience with AVImark is a plus.
  • Passion for animals and dedication to their well-being.
  • Ability to work collaboratively in a team environment.

The Ideal Candidate

The ideal CSR is someone who:

  • Thrives in a fast-paced, team-oriented environment.
  • Demonstrates patience, empathy, and emotional intelligence when supporting clients through both routine visits and stressful situations.
  • Embodies honesty and dependability, ensuring clients and team members can always count on them.
