Position Summary:
We are seeking a friendly, organized, and resilient Customer Service Representative (CSR) to join our front desk team. In this role, you will be the first point of contact for clients, responsible for managing a high volume of phone calls, appointments, and walk-ins while maintaining a calm and professional demeanor.
Key Responsibilities:
- Greet clients and pets with warmth and professionalism
- Answer multi-line phone system and respond to inquiries promptly
- Schedule appointments and manage the clinic’s calendar efficiently
- Check clients in and out, process payments, and handle billing questions
- Maintain accurate client and patient records in the practice management system
- Communicate clearly with veterinarians, technicians, and other team members
- Handle emotionally charged situations with empathy and tact
- Assist with administrative tasks such as filing, faxing, and inventory tracking
- Ensure the reception area is clean, organized, and welcoming
Qualifications:
- High school diploma or equivalent; college coursework or degree preferred
- Minimum 1 year of customer service experience (restaurant, veterinary or medical setting a plus)
- Excellent communication and interpersonal skills
- Ability to multitask and stay organized in a fast-paced environment
- Comfortable working with animals and their owners
- Proficient in computer systems and scheduling software
- Ability to work flexible hours, including weekends and evenings
