Position Overview:

Bismarck Animal Hospital is seeking a compassionate, organized, and professional individual to join our team as a Veterinary Receptionist. This role is ideal for someone with excellent customer service skills and a passion for animals. As a Veterinary Receptionist, you will be the first point of contact for clients, ensuring a positive experience while handling administrative duties to support our veterinary team.


Key Responsibilities:

  • Client Interaction:
    • Greet clients and their pets in a friendly, welcoming, and professional manner.
    • Answer phone calls, schedule appointments, and manage the clinic's appointment calendar.
    • Provide information on services, pricing, and general pet care information.
    • Assist with check-in and check-out procedures, including handling payments.
    • Communicate effectively with clients regarding their pets' health and treatment plans, as directed by veterinarians.
  • Administrative Support:
    • Maintain and update patient records, ensuring accuracy and confidentiality.
    • Manage incoming and outgoing communications, including emails and faxes.
    • Process insurance claims and client invoices.
    • Assist with maintaining clinic cleanliness, organization, and inventory management.
  • Team Collaboration:
    • Work closely with veterinary technicians, veterinarians, and other clinic staff to ensure smooth operations.
    • Assist with light housekeeping duties to maintain a clean and welcoming environment.
  • Other Duties:
    • Promote client education and adherence to pet wellness plans.
    • Handle client concerns or complaints, escalating issues as needed.
    • Assist with the management of the clinic’s events, and marketing efforts.

Qualifications:

  • High school diploma or equivalent required.
  • Previous experience in customer service or administrative support is preferred.
  • Experience in a veterinary or medical office setting is a plus.
  • Ability to handle pets of all sizes and temperaments.
  • Excellent written and verbal communication skills.
  • Strong multitasking abilities and attention to detail.
  • Experience using office software and veterinary management software.
  • Friendly, positive attitude with a strong commitment to providing outstanding customer service.

Physical Requirements:

  • Ability to stand for extended periods.
  • Ability to lift and carry up to 25 pounds.
  • Comfort with handling animals, including dogs, cats, and exotic pets.
